An RFP shouldn’t live in ten files and a hundred emails.

The need arrives by email, the specifications live in Word, the bids in a shared inbox, the comparison in Excel. Naigo brings the sourcing event together, without doing away with the formats everyone uses.

The journey

From need to negotiation, one file.

Every screen starts from what the file already knows.

The need, scoped with the internal client

You fill in the intake with the internal client, or send them the link: they complete it on their side, without an account. From what they describe, AI asks the questions an experienced buyer would ask.

  • Signed link, no account, for the internal client
  • Questions generated from the need, validated one by one
  • Re-tendering: form pre-filled from the contract

Questions specific to the need

Generated by AI from the need described by the business. Answer, validate each answer, or delete the question.

Regenerate

What support hours do you expect, outside P1 incidents?

Volume: ≈ 1,200 workstations across 3 sites

Monday to Friday, 7 am–7 pm; 24/7 on-call for P1 only.

Validated

Which indicators do you want to track each month?

Business problem: resolution times seen as too long

P2 resolution time, first-call resolution rate.

Validate

What reversibility period is acceptable at the end of the contract?

Deployment model: fully managed

The analysis

Every bid, read in full.

One click starts the analysis: Naigo reads every document and surfaces what matters.

01

Every document, read

Technical proposal, schedules filled in online, certificates: the AI reads everything the supplier submitted, without downloading anything.

02

Your red lines, checked

Every eliminatory requirement gets a verdict: compliant, to check, non-compliant. You can adjust it.

03

Your grid, scored on evidence

For each criterion, the analysis qualifies what the documents prove. The score follows a fixed table: same reading, same score.

04

Doubts, up front

A document from another supplier, or off-topic, is flagged first. And “Ask the bid” answers citing its source.

Put a contract back out to tender

When a contract is up for renewal, re-tendering it starts from the contract in force: the intake reuses what the file already knows.

Which contract to re-tender?

IT managed services — Northwave (ends 06/30/2027) ▾

AI will pre-fill this frame from the contract “IT managed services — Northwave” — the internal client will validate it through the form.

Frequently asked questions

Do suppliers need to create an account?

No. They receive a secure access link and find the documents, questions and bid submission in their space, until the bid deadline. The link can be requested again at any time.

Can we keep Word and Excel?

Yes. The specifications are a real Word document, the schedules real Excel workbooks. A supplier can answer in the workbook and send it back: it is re-imported with a template check.

How does the AI analyze a bid?

On your request, it reads every document submitted and checks it against the need, the scoring grid and the red lines. Its report cites a document for every statement, and flags questionable documents.

Does the AI score instead of the evaluation panel?

No. It suggests a reasoned preliminary score; the scores that count are the buyer’s and the panel’s, consolidated into the average.

Does my need go out on the internet during market research?

No. Only an anonymized market query goes to the search engine, and Naigo shows you which one.

How do we move to negotiation?

By validating the shortlist: each selected finalist gets its own negotiation, in the same file.
